How To Write A Tender Specification For Modular Sports Court Tiles
A clear specification protects a school or municipality from vague bids and makes quotations comparable. This guide sets out the clauses that matter for click-fit polypropylene court tiles, from the existing base through to acceptance documents.
- Base, drainage and slope
- Verifiable material clauses
- Layout and quantity schedule
- Sample and document checklist
Define the surface and the base
State whether the tiles go over existing concrete or asphalt, and require the contractor to confirm the slab is sound, level and free of standing water. Perforated tiles drain through the joints, but they do not fix a failed base or a missing fall. Ask for a base survey before the order is placed, and see the subbase guide and drainage guide.
Set measurable performance clauses
Specify 100% virgin polypropylene rather than an unspecified mix, UV stabilisation for outdoor use, and dimensional stability across the project's temperature range. Request current third-party test reports (SGS on file, RoHS / REACH) instead of accepting marketing adjectives. For grip and shock behaviour, require a declared test method and a sample panel for on-site evaluation; see shock absorption and safety.
Layout, line marking and quantity
Give the court dimensions, the sports to be marked, the colour scheme and whether permanent line panels or painted lines are expected. A layout drawing lets bidders price the same scope and prevents surprises over edge pieces and ramps. Use the panel quantity calculator to cross-check the schedule, and include a spare-parts allowance for later single-tile replacement.
Documents, samples and acceptance
List the documents required before shipment: commercial invoice, packing list, bill of lading, certificate of origin, test reports and any destination-specific paperwork. Require a sample kit for approval, then define acceptance on arrival - colour consistency, locking fit, flatness and quantity. See sample kits and quality checks and the shipping terms guide.

Frequently asked questions
Should a tender specify a brand or a performance standard?
A performance-based clause with verifiable test reports is safer than a brand-only clause, because it keeps the bid comparable and makes acceptance objective.
Can interlocking tiles be laid over cracked concrete?
The base must be sound and level. Localised cracks should be repaired first; tiles bridge minor imperfections but cannot correct structural movement or standing water.
How many spare tiles should be included?
Specify a small percentage of each colour and line panel for future single-tile replacement, and record the batch so colour matching stays consistent.
Do we need a sample before a full container order?
Yes. A sample kit lets the buyer check colour, locking fit, surface texture and documentation before committing to a full container.
